However, customers can also leverage “”Configuration”” to completely tailor the solution to meet the specific needs of the business, with no coding or customisation required. For example, a “Once per week” or “Once per month” notification could be sent out to the Initiative Owners, taking them to a “Milestone Management” dashboard, summarising all key upcoming/due Milestones. Furthermore, ad-hoc alerts/notifications can be sent out to Initiative Owners notifying them of Milestones which are due and are about to slip.

Can Shibumi trigger approval Workflow if a Prioritization score is changed?

Approval workflows can be re-initiated based on any change in the questions/answers associated with the Priortization Scoring. Furthermore, different approval workflows can be leveraged depending upon the answers to each question. For example, “If the answer is “X”, go to this approver”, and “if the answer is “Y”, go to that approver. Notifications can be sent out in line with the change in questions, and both approvers and/or Initiative Owners/Contributors can be notified “In App” or via email.

Can Shibumi trigger alerts when Milestone details are changed?

When they are added, they are notified, and when their approval is required Shibumi will notify them of a pending approval either via “in App” notifications, and/or via email. When the email is received, the Approver will click a button in the email taking them to their “Approval View”. Optionally, a configurable “Approvals Dashboard” can be personalised and made available to each Approver in the event where they have many Approvals required on an ongoing basis.

Am I able to configure the process flow to govern and enforce processes and standard operating procedures? For Example: to ensure that project ideas have to be reviewed by all reviewing parties before moving on to approval stage.

Firstly, any Shibumi dashboard can be configured to provide “Read Only” external users with a view where they can filter/interact with the dashboard/report without manipulating the underlying data. Secondly, any Shibumi dashboard or view can be exported or printed from within the Shibumi user interface. An example of an export could be “Export to PDF from Presentation”. Finally, data from a Shibumi dashboard or report can be integrated with Microsoft’s PowerBI, so external users can view their reports in their existing PowerBI format.

Can Shibumi show columns in pages that include: KPI value; description; primary division; supporting division; target; baseline; budget request; data source; activity; start month; end month; progress %; budget execution; monthly tracking column throughout the year?

Can I assign a user role to people across my organization?

Shibumi includes a powerful suite of role based access and permissions OOTB. Additionally, the organisational hierarchy of customers will be embedded within the Shibumi solution so staff have appropriate permissions in the solution based on their role in the customers organisation & organisational hierarchy. Furthermore, Shibumi’s flexible configuration capabilities allow customers to define any number of user roles and permissions down to the field level. For example, “View Only” staff in the “Finance BU” might have visibility across all initiatives, but perhaps only edit rights over the initiatives they’re permitted to change or the initiatives they own.

Can Shibumi handle different User Role types?

Shibumi includes a number of standard OOTB user roles, such as “Admin” style SuperUsers, “Owners”, and so on. Furthermore, additional user types and roles can easily be configured as required. Just like all other functionality in the Shibumi platform this requires no coding or customisation.

As an Enterprise grade Platform with extremely robust security controls, Shibumi records every single page view, change, time, date, old/new value, and who has made the change. Can Shibumi auto calculate a Priortization Score based on defined criteria?

For example, Shibumi can be configured to score or weight answers to questions based on a custom methodology/calculation. This can be configured by Shibumi team members or by trained customers staff members, all via simple configuration with no coding/customisation required. Prioritization “Dashboards” can be visualised at the Program level or Business Unit level. These dashboards enable customers to leverage various visuals to determine which Initiatives have the most potential for success.

Can I export an existing list of initiatives for external reporting?

Shibumi can be configured to flexibly show a table of data at any location throughout the solution. For example, at the “Business Unit” level, you could have a table of all of the existing Initiatives with columns showing the “Critical Fields” associated with each. This information can be exported to CSV by an appropriately permissioned user, and sent to staff members. If the data is updated outside of Shibumi, it can then be imported/ingested by simple “Copy/Paste” from the CSV/XLS back into Shibumi. Optionally, the Shibumi customers solution can be configured in such a way as to replace external and additional spreadsheets. These spreadsheets can be digitised into the Shibumi platform and staff members can then collaborate around a real-time source of the truth, instead of managing spreadsheets across multiple versions/etc.

Can I Upload or Attach documents into intitiatives in Shibumi?

Shibumi can support adding documents, files, links, etc. to any Initiative or work item in the solution. As an alternative, the Shibumi team can work with customers to understand the existing documentation templates, and these can be optionally digitised into the Shibumi platform and made as a component of the broader solution.

Can Shibumi import an existing list of recommendations and initiatives?

Existing initiative data can be imported/ingested by simple “Copy/Paste” from a CSV/XLS or other structured data set. Once the Shibumi solution is up & running, users can simply add new initiatives singularly or in bulk using the standard Shibumi UI/UX.

Can Users filter and sort list columns?

Any table of data and its data fields/columns can be either locked down and/or unlocked to be sorted, filtered, or searched based on various criteria. The “Configuration” of the Shibumi platform enables these tables & columns to be leveraged in any location, and administrators/app owners can self-configure new tables in moments to meet the evolving requirements of the business.

Does Shibumi have the ability to search across all existing initiatives?

Universal search is available to all users, and provided they have permissions to view the work item (Initiative, for example) the initiative will appear in the search results. Furthermore, search fields can be made available within views/tables of data from within an initiative, providing an organically filtered search field. Shibumi “Configuration” can be used to flexibly define security rules and permissions around view rights, edit rights, and so on. Shibumi natively respects the hierarchy of your organisation, and this enables permissions to be natively applied depending upon where the staff members sit in that hierarchy. For example, the owner of a ÒBusiness UnitÓ can have full administrative rights to that business unit and all downstream teams/functions. But at the same time that ÒBusiness UnitÓ owner may not have any access rights to other business units or upstream business functions.

Can I setup Custom home pages based on user or user type? i.e. corporate home page, manager home page, etc.

Yes, Shibumi can be configured so that specific User Types can see the information that is most relevant to them.

Are there any limitations to the Permissions types or User roles that can be created in Shibumi?

Shibumi has a virtually limitless permissions engine. This engine enables admins to apply view/edit/admin style rights to any field in the solution, and these rights can be flexibly defined based on user, user type, role, stage, function, and so on.
