Whether you’re collaborating on a bunch of tasks, managing an Initiative, or reporting on company Objectives, a lot of content gets generated. Putting together the Q4 Quarterly Report? That’s probably a Word or PDF document. Moving to a new office? That’ll mean photos, floor plans, and a whole lot more. Spreadsheets, PowerPoint presentations, websites, screenshots, contracts, zip files – it adds up pretty fast.
In Shibumi, we refer to this work-related content as Attachments. Whether it’s a file on your laptop, a website, or a document in a content management system, you can “attach” it to any item in Shibumi, just as you’d attach a file to an email.
Shibumi is laser-focused on managing work and aligning it to strategy. When it comes your content, that means keeping your attachments organized, accessible, and visible only to the right people. That’s what this release is all about.
Search less, find more
As Initiatives are created and work plans are defined, a structure is created in the form of a hierarchy. Think of it like folders on your hard drive. It’s a great way to manage an Initiative, making sure everything stays organized. But, like nested folders on your computer, things can get lost. It happens to us all the time. Which folder did I put that document in? Or in Shibumi, to which Task did I attach that file?
To make things easier, you can now see the Attachments for not only the current work item, but also everything in the work plan below it. Attached a file to a task, under a phase, in a sub-initiative? No problem, it’s accessible everywhere, ensuring it doesn’t get lost. We also show you where it was attached, so you’ll know where to look next time.
Even better, we’ve added filter and sort options for Attachments, making it a snap to find that elusive file you need.
Who can see this content?
Now that you’ve got a better handle on the content you’re generating, it’s important to understand who has access to it.
Shibumi has one of the most robust security models in the industry, and allows user permissions to be unique at each level of a work plan. This is especially important in large organizations where sensitive information cannot be shared.
The upshot is that the need to know each and every user with visibility to an item becomes critical.
Now you can do just that, using a feature we’ve cleverly dubbed “Also Visible To.” With a single click, Shibumi figures out everyone with access – Collaborators, Followers, those with inherited access, shared visibility through groups, everything – and displays the list. No more questions, no more confusion.
As always, please let us know how you feel about these new features, and any other thoughts you have about Shibumi. You can always click the “Feedback” tab from anywhere in the app, so don’t be shy.
