Customer Overview

Medline is one of the United States’ largest manufacturers and distributors of medical supplies, with hundreds of transformation initiatives spread across dozens of areas of interest.

Goal

Generate Better Insights for Business Growth—in Less Time

Medical and surgical solution company Medline has hundreds of initiatives to manage, spread across dozens of interest areas, each associated with a significant budget. After many consecutive years of business growth, the company sought to enhance its strategic portfolio management of IT initiatives to continue achieving aggressive growth targets and budgetary KPIs.

Yet a complex network of systems for different use cases and folders full of PowerPoint presentations for reporting hamstrung growth, created confusion, obscured key data, and wasted hours of teams’ time. For example, it took six to eight weeks to compile updated reports, said Andrew Reider, Senior Expert of Portfolio Management. “Management-level reporting created a scramble to get information—and the accuracy wasn’t where it needed to be,” he said. To enable more effective decision-making and strategic oversight, Medline sought a solution that could provide visibility across hundreds of investments, with granular data on each initiative’s associated resources.

Solution

Consolidate Investment Governance and Strategic Portfolio Management Within Shibumi

Medline selected Shibumi as a comprehensive platform that could unify its data—even at the most granular level—across its portfolio of strategic investments. The company needed a true partner, able to work closely with its leadership team to adapt and improve the solution over time. Shubumi’s flexibility allowed the company to tailor dashboards to its specific needs, while integrating proven best practices from across Shibumi’s client base ensured that Medline was set up for success.

“We now have access to accurate data that we never had before,” said Nayse Cedeño, Medline’s Senior Manager of Portfolio Management. “Shibumi allows us to auto-calculate ROI for different initiatives, identifying where growth is happening and where more can happen.”

Simultaneously, Medline leveraged Shibumi to launch a new capacity management effort to ensure that large investments have the available resources required to progress as they should and to quantify additional capacity that could deliver more value. In this way, Medline can effectively overlay initiative planning on top of capacity planning within Shibumi to support both short- and long-range planning

We have so much more visibility to help us ensure we’re making the right investments, at the right time, on timelines we can deliver on to get the ROI we’re after.”

-Andrew Reider, Senior Expert of Portfolio Management

With a comprehensive view of capacity, value, and ROI in a single platform, Medline has gained a much deeper understanding of its business and how its initiatives are delivering actual versus planned value over time. Hundreds of investments are now governed entirely within Shibumi, from ideation to completion, representing hundreds of millions of dollars in expected value. At last count, more than 400 Medline employees leveraged Shibumi on a regular basis.

With robust and accurate real-time data just a few clicks away, Medline has automated reporting, a process that previously took up to eight weeks to complete. Accurate and accessible data enables Medline to have better and more insightful conversations with stakeholders, eliminating obstacles for collaboration; insights from Shibumi have even influenced overall strategy, informing the goals decision-makers set for coming years.

“The strategic planning that we are able to do in Shibumi has changed the way we do business,” Reider said. “We have so much more visibility to help us ensure we’re making the right investments, at the right time, on timelines we can deliver on to get the ROI we’re after .”
